The Open House Lead Capture Checklist

Everything a solo host has to do to leave a Sunday open house with named visitors, a fed seller, and follow up already moving.

This is the list an agent hosting alone actually needs, written in the order the weekend happens. It assumes you are the person entering the open in the MLS, buying the sign riders, running the door table, and answering to the seller on Sunday night. Nothing here needs an assistant or a marketing coordinator.

Work through it in four stages. Three days out you set the paperwork and the tooling. In the setup hour you make the house safe and the door table workable. During hosting you protect the two things that matter, which are the name and one honest line of feedback per group. In the 48 hours after lockup you convert what you gathered before it goes stale.

How to use it

Print the first three stages and keep them in the sign bin, or leave the whole list open on your phone during setup. The stages are deliberately timed to the parts of a weekend where solo hosts lose ground: the paperwork nobody checks until Friday night, the twenty minutes before the first car pulls up, and the Sunday evening when you are tired and the seller is waiting.

Two of these items pay for the rest. Getting the name at arrival instead of at the exit roughly doubles most agents' capture rate, and sending the seller report before you leave the driveway is what makes the listing appointment two blocks over easier six weeks later. If you only enforce two lines from this list, enforce those.

Questions about this document

Can I use this checklist with a paper sign in sheet?

Yes, the sequence still works. Expect to lose names to unreadable handwriting and to spend Sunday night typing entries in, and remember that a paper sheet on a table is visible to every other visitor who walks past it, which is a privacy issue worth thinking about.

How do I keep visitors from skipping the sign in?

Ask at arrival while handing over the flyer, and put the tablet in the natural path rather than off to one side. Saying you send a written summary to the seller and follow up with anything you learn about the street gives people a reason to sign that is honestly true.

Does this work for a broker open?

Most of it does. Skip the buyer follow up sequence, shorten the setup hour since agents do not need the same staging, and put more weight on the feedback line. Agent comments about price and condition are the whole point of a broker open.

Run the lockup stage without typing it

Most of this checklist is judgment you already have from hosting alone. The two lines that slip are the ones at the end: the seller report the same evening and the first buyer touch inside the day. A short demo shows both of them going out while you are still pulling directional signs off the corners.
